Refund Policy Related to Special Events

General Policy Statement

This policy covers Special Events that are held by the Rutgers University Foundation, Rutgers University Alumni Engagement, and other Rutgers University Units if Rutgers University Foundation is organizing/administering the event. For the purpose of this Refund Policy, Special Events are defined as paid, date-specific events in which payment is made for registration fees only, optional gifts, registrations with an included gift component, or sponsorships and ads.

Funds received in advance of a Special Event may be refunded only as specified in this refund policy. In cases where the registration contains a gift component or sponsorship, the Foundation will consider the gift complete and/or transaction fully performed when the refund deadline expires, and the Foundation will apply the received funds as specified in the applicable event allocation.

All requests for refunds must be run through the event organizer.

Refunds for Special Events – Registration Only (Optional gifts are not refundable)

  • Refund initiated by an event attendee - Refunds will be granted up until five days before the event date. No refunds will be granted after that time unless otherwise granted at the discretion of the Foundation.
  • Refund initiated due to cancelled event - Refunds will be executed within 30 days from the date of the cancellation announcement.
  • Refund initiated due to postponed event - A postponed event is defined as an event that has been delayed from its originally scheduled event date with a rescheduled date known at the time of postponement announcement. If the registrant chooses not to attend the postponed event due to the change of date, they can request a refund up to five days before the rescheduled event.

  • Refund initiated due to postponed event - A postponed event is defined as an event that has been delayed from its originally scheduled event date with a rescheduled date known. If the registrant chooses not to attend the postponed event due to the change of date, they can request a refund up to five days before the rescheduled event.

Postponed Events and Refunds

A postponed event is defined as an event that has been delayed from their originally scheduled event date with a rescheduled date known. Consideration will be made if the gift portion allocation of an event has changed from the original event type. If the postponed event is a recurring annual event, the rescheduled date shall occur not later than 12 months after the original date of the postponed event, In addition, the rescheduled date may coincide with the same event timing in the next year if it is a recurring annual event. IE: If a gala was changed from an in-person event to a free virtual event this would then be considered a cancelled event. If a gala was originally scheduled for December of one year and is then postponed a couple of months into the following year it will still be considered postponed unless it gets postponed again at which time it may be deemed too close to the next gala and will therefore be deemed as cancelled. If a gala is postponed a full year and will replace that next year gala, it will only be deemed postponed, as long as, all registrations, sponsorships and value of benefits did not change. Any changes in the format or costs will therefore deem the event cancelled.
